
An OEM sample is not only a demonstration unit. It is the physical checkpoint where buyer requirements, factory interpretation and production capability meet. If approval is a casual “looks good,” later disputes have no stable reference. A controlled process records what was tested, what changed and which version production must match.

One sample may not answer every question. Material evaluation can begin early, while packaging and labels need the final configured unit.
Before shipment, issue a sample specification containing visible size, aspect ratio, product structure, material code, motor/power/control configuration, housing/frame finish, accessories, labels, manual and packaging direction. Mark which items are final and which remain experimental.
Build this package from the OEM RFQ guide and assign a revision number. Photos in messaging apps should not become the only specification.
Confirm model, material, visible image, overall dimensions and supplied accessories against the approved drawing. Record the measuring method and any agreed tolerance; do not invent acceptance after seeing a result.
Deploy or assemble the sample in the intended geometry. Test representative content with the target projector where material performance matters. Review flatness appropriate to the product type, marks, texture, color, hotspotting and viewing positions.
For motorized products, verify ordered voltage, plug, remote or control functions, travel and stop behavior using the model instructions. Do not open the housing or change limits as part of an informal buyer test.
Check logo method, color, model labels, rating information, manual language, accessories and carton marks. Confirm who owns final artwork and which file revision production will use.
Inspect how the screen, viewing surface and accessories are protected. Record packing dimensions and identify any change needed for the intended logistics route.

Use three decisions: approved, approved with documented changes, or rejected/re-sample. Every change should state owner, action, evidence and new revision. If the approved sample itself is altered, photograph and relabel the final reference.
Retain a controlled “golden sample” or equivalent reference when practical. Define who stores it, how long and how production inspections will refer to it. The quality-control checklist should use the same approved fields.
It can approve material direction, but not complete structure, operation, branding or packaging. Higher-risk configurations need a representative product sample or first article.
It is the controlled physical reference representing the approved product. Its identity, revision, storage and use in inspection should be documented.
Sample charges and freight depend on product and customization and are confirmed in the quotation. Separate sample cost from production pricing.
That increases risk. If schedule requires overlap, document which parts are authorized and who accepts the exposure; do not treat silence as approval.
Issue a deviation list with clear acceptance criteria and decide whether evidence, a changed component or a complete re-sample is required before release.
